CordBase vs a Google Sheet for your Discord server
Written by the CordBase team. Competitor prices and features checked against their own sites; see sources below.
The short answer
A Google Sheet is free, flexible and has formulas and charts that CordBase doesn't. Its weak spot in a Discord server is that members have to leave Discord to use it, and edit access is per Google account, so you either share edit rights broadly or type the data in yourself. CordBase keeps the data entry in Discord with typed slash commands and role permissions, but has no formulas, charts or spreadsheet import. Pick Sheets when admins do the analysis; pick CordBase when members do the data entry.
| What you need | CordBase | Google Sheet (+ Zapier or Make) |
|---|---|---|
| Members add data from Discord | Yes, slash commands with typed options | Only through an automation, usually by posting a formatted message |
| Input validation | Column types, required fields, fixed choice lists, member picker | Data validation rules in the sheet; free text from Discord |
| Who can edit what | Read / write / admin per role, per table | Per sheet or range, per Google account |
| Formulas, charts, pivot tables | No | Yes |
| Look things up from Discord | /<table> query, view, leaderboard | Not without extra automation |
| Import an existing spreadsheet | No (no CSV import yet) | n/a |
| Export | CSV and JSON on paid plans | Yes, many formats |
| Cost | Free for 2 tables; $8/month Pro | Sheets is free; Zapier free tier is 100 tasks/month |
Why servers start with a sheet
It's free, everyone has used one, and you can be tracking things in two minutes. For data that admins maintain and analyze (budgets, schedules, a big item database with formulas), a sheet is often the right answer and CordBase isn't trying to replace it.
Where it gets awkward in Discord
The trouble starts when members are supposed to keep the data up to date. The link gets pinned, then buried. People on phones don't want to open a spreadsheet. Sheets can protect ranges, but edit rights are per Google account, so in practice you either share edit access widely or an admin types everything in by hand. CordBase has a similar limit of its own: write access covers every row in a table, not just a member's own.
Connecting Sheets to Discord
The usual bridge is an automation tool. Zapier's Discord integration can trigger on things like a new message in a channel, a new reaction or a role being assigned, and write a row to Google Sheets. It doesn't have a slash-command trigger, so members typically post a message in a set format that the automation parses (Zapier Discord + Google Sheets). Zapier's free plan includes 100 tasks a month (Zapier pricing). Make's free plan includes 1,000 credits a month and runs scenarios at most every 15 minutes (Make pricing).
This works, and for low volume it's cheap. Getting data back out to Discord (looking up a value, posting a leaderboard) needs more automation, and real slash commands need a hosted bot: Discord expects a response to an interaction within 3 seconds (Discord docs).
What CordBase does instead
You define the columns once on the web: text, number, date, yes/no, a choice list, or a Discord member. CordBase turns the table into a command, so /raid-signup add player:@Ari role:Healer available:True uses Discord's own member picker, choice menu and true/false toggle, and a number column won't accept letters. Members look data up with /raid-signup query role:Healer, and roles decide who can read, add or delete. Admins still get a web table, and paid plans export to CSV or JSON for anything you want to analyze in a spreadsheet.
The trade-off is real: no formulas, no charts, no pivot tables, no import from an existing sheet, and no two-way sync with Google Sheets.
Choose Google Sheets if
- Admins maintain the data and members only read it.
- You need formulas, charts or pivot tables.
- You already have a big sheet and moving it would cost more than it saves.
Choose CordBase if
- Members are supposed to add and update rows themselves.
- You want typed, validated input instead of free-text messages.
- You want different roles to have different access without sharing a Google doc.
Questions
Can CordBase sync with Google Sheets?
No. There's no Google Sheets integration. Paid plans can export a table to CSV or JSON, which Sheets opens directly.
Can I move my existing spreadsheet into CordBase?
Not automatically yet, since there's no CSV import. You can recreate the columns in the dashboard and add rows with slash commands or from the dashboard.
Is a Google Sheet + Zapier setup free?
It can be at low volume: Google Sheets is free and Zapier's free plan includes 100 tasks a month. Busy servers usually need a paid automation plan.
